Media Agency Checklist:
Our main goal is to fulfill a clients order in the most accurate, cost effective, efficient manner possible. In order for IMS to execute these key elements we require the following from any and all media agencies.
Duplication requests sent to IMS must include the following:
Date the order was submitted for processing
Show/Spot Title
Client
Product offer price/payment
ISCI Code
Version
Correct Phone # (800#) in a clear readable size
Tape format requested (# of copies needed, if applicable)
Clearly written station call letters with a complete correct address
Due at station date
First airdate
Contact name/media buyer sending order
Contact Phone #, Fax #, and email for person sending order
When sending multiple page orders, a cover page that lists all stations represented must be included. IMS will use this page for confirmation of your order if all elements have been received in their entirety.
Customization Requests are required when IMS has to build a new phone # to a show or spot.
Please provide any special instructions or requirements that a station may have. This could range from multiple air tape copies required, view tape copies required, special lengths or edits (28:00, 27:55, 27:30), station disclaimer requirements, different addresses tapes must be shipped to (air tapes vs. view tapes).

IMS's policy on all customization and dub requests submitted is that we will follow all details provided by the media buyer. We are not responsible for incomplete or inaccurate information provided by the client or agency. For instance our policy on stations' addresses is to adhere to the address provided by the media agency on each duplication request submitted. Please confirm all addresses with stations prior to submitting your requests. Shows or spots will be sent to the station at the address found on that request. We cross reference submitted addresses with our internal address database. If we notice a discrepancy we will call to discuss. Also, please provide addresses for view tapes if they differ from the air tape's destination. Again we will check the address content with our database. If there is a time constraint (a tape must go out) and verification of the correct mailing address is not possible due to the unavailable confirmation from the media buyer, IMS will not be responsible for late delivery or additional wrong address delivery fees. Please make sure to provide correct phone # for the person or department that a tape is being sent to. This will be helpful for address confirmations, etc.

While planning out the media schedule after a test has landed a successful result, please consider the following:
Encoding for tracking purposes.
Closed Captioning for station requirements.
Prior notification of your intent to have a client's master tape encoded and/or close captioned will help streamline processing tremendously. Please inform IMS of any encoding needs a day ahead or at least the early morning of the day you submit your orders. Closed Captioning will need as much as 3-5 days prior notification.
